1. Who is responsible?

CleanTool is developed and operated by Talistech BV. Talistech BV acts as controller for account, security, support and website data. For operational data entered by a cleaning company, that company normally determines the purpose and Talistech BV acts as its processor.

2. Which information do we process?

Account and profile data, organization membership, roles and access rights.
Customer, location, employee, skill, planning, assignment, check-in, timesheet, checklist and operational notes entered in the platform.
Demo requests, support messages and contact details.
Security logs, audit events, device and technical request information needed to keep the service reliable.
Website usage information through Google Analytics when it is configured and analytics cookies are enabled.

3. Why and on what basis?

We process data to provide and secure CleanTool, execute agreements, respond to requests, improve the product, comply with legal duties and protect legitimate business and security interests. Where consent is required, you can withdraw it for the future.

4. Sharing and international transfers

We only share information with service providers needed for hosting, email, maintenance, security and analytics, with professional advisers where necessary, or when legally required. Google Analytics may involve processing by Google outside the European Economic Area; applicable contractual safeguards are used by that provider.

5. Retention

We keep information only as long as necessary for the stated purpose, contractual and legal obligations, security and dispute handling. Operational retention can also depend on the cleaning company that controls the data. Backups and security logs may remain for a limited recovery or audit period.

6. Cookies and similar technologies

Necessary cookies keep sessions, language and security features working. When server-side GA4 analytics is configured, anonymous analytics starts by default on the first visit. You can immediately choose “Necessary only” or change your preference later. That choice stops future analytics and removes the anonymous CleanTool analytics identifier.

7. Analytics data minimisation

CleanTool sends route-level page views to Google Analytics through its own server. We do not load Google’s browser analytics script and do not include query strings, record identifiers, organization names, form values or user profile data.

8. Your rights

Depending on the situation, you may request access, correction, deletion, restriction, portability or objection, and withdraw consent. Contact the organization that gave you access for operational data, or Talistech BV for direct account, website and support processing. You may also lodge a complaint with the Belgian Data Protection Authority.

9. Security and your responsibility

We carefully handle data and information using access controls, tenant separation, logging, backups and other proportionate safeguards. You remain responsible for correct data entry, authorized users, safe devices and confidential credentials.
